We are looking for a candidate with a can-do attitude, strong attention to detail, and excellent organisational skills. While experience in financial services is advantageous, it is not a prerequisite for this role. Your main responsibilities will include:

  • Invoicing – preparing invoices and ensuring complete information as per solution and client specification. Sending of invoices and tracking receipt of payments. Escalation of unpaid items. Updating s/sheets & internal system. Monthly planned invoicing and ad-hoc mid-month invoicing requests.
  • Statement reconciliation - (bank and credit card statements vs supplier invoices, receipts). Preparing for sign off by Director and maintaining records for Financial Control team.
  • Payments – checking supplier invoices and accurate input into the banking system. Seek relevant approvals to ensure payment made on time.
    All above items require thorough checking and, in some instances, following up with various internal teams. Taking initiative and ‘thinking for themselves’ to go the extra mile to ask relevant questions to ensure completeness and accuracy of information, whilst mindful to adhere to internal processes and procedures, in line with client contracts and expectations. Thinking ahead to external reporting.
  • Office Management – key ‘to-go’ contact for the team for all office requirements, liaising with building/facilities provider, booking meeting rooms and arranging ‘working lunches’, diary management, office supplies, arranging visitor access, booking travel. Arranging couriers for marketing and events. Coordinating onboarding new employees, putting arrangements in place for new joiners to the London office (passes, general information, IT equipment).
  • Awareness of Health & Safety requirements essential - Part of annual H&S risk assessment and raising day to day issues with serviced office.
  • Events Management – experience of arranging events/working with venues to support marketing colleagues is also beneficial.

This position is three days per week.

  • You have more than 3 years of relevant work experience
  • Knowledge of excel / administrative / accounts payable systems
  • Being fluent in English with a right to work in the UK is a requirement.
